Privacy Policy

When you send a housing request, we collect:

• Required: first and last name, email, phone number, length of stay and monthly budget.
• Optional: company, preferred start date, bedrooms, area of town, number of occupants, pets, reason for stay, important amenities, the property you asked about, and anything you write in the free-text box.
• Contact preferences: whether you checked the optional phone and text checkbox, the exact wording shown, its version, the time we received it, and which page the form was on (the page address only, without search details).

Please do not include financial, medical, Social Security or other sensitive details in the form. We don't request documents through this website, and the website does not take payments or bookings.

We use your request to reply to you, match you with suitable homes from our own inventory, and handle leasing for your stay. We don't use the form to send marketing, and we don't share your request with others for their marketing.

The form has one optional checkbox to agree to calls and texts from our leasing team. It is not a condition of submitting a request or renting; if you leave it unchecked, we'll reply by email. Any calls or texts are personal follow-up about your housing request only, not marketing, and this website does not send calls or texts itself. You can text STOP to opt out or HELP for help, or tell us by email or phone; our leasing team handles these requests personally rather than through an automated system.

• Requests are saved privately in our database, which only our server can access. Authorized Landwell leasing staff and assistants can review them.
• A copy of each request is posted to a designated Slack channel used by our leasing team (Slack is our messaging service provider).
• The website is operated using our website hosting and database service providers.
• Property listings, photos and availability come from OwnerRez, our property management system. Your housing request is not sent to OwnerRez by this website.

• Like most websites, our hosting providers process technical information such as your IP address, browser and pages requested in order to deliver the site and keep it secure.
• To limit spam, when you submit a request we store a scrambled (one-way hashed) form of your IP address with the request, rather than the address itself.
• Fonts are loaded from Google Fonts, which receives your IP address and browser information when a page loads.
• When you open a property's map, map requests go to OpenFreeMap, which provides map tiles built on OpenStreetMap data; OpenFreeMap receives your device and network information.
• When you open a property with a video, the YouTube privacy-enhanced player (youtube-nocookie.com) loads right away, before you press Play, and YouTube may receive your device and network information.
• Our website does not add its own advertising or analytics tracking cookies.

We keep requests only as long as needed to respond, manage leasing and our business, and meet legal obligations.

If we change this policy, we'll update it here with a new effective date.
